CANCELLATION, RESCHEDULING & BOOKING POLICY

To ensure a well-prepared and meaningful gastronomy experience, Dje Djak Rasa makes advance arrangements with local communities, culinary partners, field hosts, and other service providers prior to each trip. Therefore, all bookings are subject to the following terms:

1. Booking & Payment

•  Your booking is considered confirmed once the required payment has been received.
• The booking fee is used to secure your place and support advance arrangements with our local partners and field team.
• By completing the payment, participants are considered to have agreed to these terms and conditions.

2. Cancellation by Participant

• More than 14 days before the trip: 75% refund of the total trip fee.
• 8–14 days before the trip: 50% refund of the total trip fee.
• 3–7 days before the trip: 25% refund of the total trip fee.
• Less than 3 days before the trip: non-refundable.
• No-show or cancellation on the trip date: non-refundable.

The non-refundable portion covers operational commitments and arrangements that may already have been made with our local partners and service providers.

3. Rescheduling — Our Preferred Option
Instead of cancelling, participants may request to reschedule their booking:

• Rescheduling requests must be submitted *at least 3 days before the trip date.
• Rescheduling is allowed *once per booking*, subject to availability.
• The booking may be transferred to another available date within *3 months* from the original trip date.
• Any additional cost resulting from the new date, if applicable, will be communicated before confirmation.

4. Transfer of Booking
If you are unable to attend, you may transfer your booking to another person at no additional charge, provided that:

• Dje Djak Rasa is informed *at least 24 hours before the trip*; and
• The replacement participant meets the requirements and agrees to the applicable terms of the trip.

This option is subject to trip capacity and operational arrangements.

5. Cancellation or Changes by Dje Djak Rasa
Dje Djak Rasa reserves the right to modify, postpone, or cancel a trip due to circumstances beyond our reasonable control, including severe weather, safety concerns, local conditions, or other unforeseen operational circumstances.

In such cases, participants will be offered either:

• rescheduling to another available date; or
• a full refund of the trip fee* if the trip cannot be rescheduled.

6. Experience & Itinerary Adjustments
As gastronomy experiences are closely connected to local communities, weather, seasonal ingredients, and field conditions, the itinerary, sequence of activities, culinary stops, or participating local partners may occasionally need to be adjusted.

Dje Djak Rasa will make reasonable efforts to maintain the overall character, value, and purpose of the experience.

7. Refund Process
Approved refunds will be processed within *7–14 business days* after the cancellation or refund request has been confirmed. Applicable payment gateway or bank transfer fees, if any, may be deducted from the refundable amount.

8. Special Circumstances
For exceptional circumstances, Dje Djak Rasa may review a cancellation or rescheduling request on a *case-by-case basis*, while taking into consideration commitments that have already been made to our local partners and field team.
